Abstract

Due to the manual project management process currently used in industry, project managers face project failure problems due to lack of team communication, poor resource allocation, and unrealistic deadlines. Project failure problems can lead to failure to deliver products on budget and time, which affects organization reputation. To overcome these problems, we proposed a Centralized Administrative Management System. This proposed system consists of project management and document approval modules. This proposed system is being developed by me and my team partner, Wee Choon Pin, where project management and user management modules will be handled by me while document approval modules will be his responsibility. This paper will mainly focus on project management module development. Generally, project management modules consist of three sub-modules, including project management, resource allocation, and communication, which allow project managers to replace manual project management processes through automation so they can manage projects using this system; project members are able to update project tasks and leave comments. A literature review has been conducted to understand the requirements of the target audience. During the Software Development Life Cycle (SDLC), Rapid Application Development (RAD) will be used due to the short development time and small project team. System design has been covered using collaboration diagrams, entity relationship diagrams (ERD), database design, and user interface (UI) design to visualise the proposed system structure. During the development, a XAMPP web server with the Apache Netbean IDE and the Laravel framework with PHP and front-end languages are used for the coding. In the testing phase, unit testing has been conducted by the project team along with a proper test plan to ensure the system is bug-free. This proposed system will be deployed on Amazon Web Services (AWS) for hosting. This proposed system has been successfully delivered to the public. The strength of this system is flexibility and portability, where users can access through digital devices at any time, anywhere, and at any time, while the weakness of the system is the lack of real-time notification and limited email service support, which is considered a future improvement.
