Abstract

In recent years, students at universities like TARUMT have face many difficulties getting timely support and finding important campus information. This cause much inconvenience because they often need to send email to faculty or visit office directly to ask help. These methods take time and only work during office hours. Especially in busy periods like semester registration or exam weeks, replies can be late or unclear, making students confused. Therefore, this project develop a centralized system called Student Support Hub to collect all student support information and include a 24/7 chatbot. The system allow students to access easily and quickly access activity by using dashboard, accommodation guidance, and other university services from one platform. The system scope include features such as AI chatbot assistance, support ticket submission, student forum, and backend side management functions to handle simple and complex enquiries. The project use Waterfall Software Development Life Cycle, which cover requirement analysis, system design, implementation, testing, and deployment stages. It is built as a web-based application using PHP, HTML, CSS, JavaScript, and MySQL, with chatbot supported by external AI API. Testing include unit, integration, system, and user acceptance testing to ensure the system work properly and meet user needs. It show that Student Support Hub provide faster responses, more consistent information, better access for students, and reduce repetitive work for admin staff. In conclusion, the system greatly improve student support service efficiency, though future enhancements like mobile support and advanced personalization can be added.
