Abstract
The Volunteer Management System (VMS) is a mobile application developed to improve the coordination and organization of community events in Malaysia, where traditional methods often result in disorganization, miscommunication, and inefficiencies. The VMS is designed to provide a comprehensive platform for participants, sponsors, and organizers, offering features like a Unified Event Information Board for centralized communication, a Pool Status Indicator to monitor event capacity, Real-Time Updates to keep all stakeholders informed, and a Participant Redirection feature to ensure balanced distribution of volunteers. Personalized Alerts further enhance user engagement by delivering tailored information based on availability, while Recognition Badges acknowledge and motivate participants. The system also integrates Sponsor-Backed Rewards, allowing sponsors to incentivize participants with tangible benefits while promoting their brand. The system was developed using Android Studio, with Kotlin handling business logic, XML for the user interface, and Firebase for data management and real-time synchronization. The Agile development methodology was employed to ensure flexibility and iterative improvements, allowing for continuous refinement based on user feedback. A group of 10 users, including participants, sponsors, and organizers, tested the system’s modules, providing valuable insights into its usability and effectiveness. These tests focused on features such as event creation, sponsorship management, and notifications, which helped identify areas for further optimization. The VMS aims to create a structured and engaging environment for community event management, addressing existing challenges and contributing to the overall success of volunteer-driven initiatives.
